Use the Intercoastal Medical Group Patient Portal Without Getting Stuck at Login
Most Intercoastal Medical Group patients use My Health Record, a Greenway Health patient portal. It provides a secure digital connection between patients and participating Intercoastal offices for available records, laboratory results, appointment requests, forms, messages and account tasks.
The confusing part is that not every Intercoastal patient uses exactly the same system. Hematology and Oncology patients are given a separate CareSpace portal, and Intercoastal is currently warning about time-outs and data-retrieval problems affecting its main portal. This guide shows which login to use and what to do when the portal does not solve the problem.

Portal outage help
Do not use the portal for a medical emergency.
Call 911 for severe chest pain, major breathing difficulty, sudden stroke symptoms, uncontrolled bleeding, loss of consciousness or another condition that could threaten life or permanent function. For a time-sensitive but non-emergency problem, call your Intercoastal physician’s office instead of waiting for an online response.
Current portal performance notice:
Intercoastal Medical Group currently reports time-outs, slowness and failures when some patients try to upload or retrieve information through the portal. The practice says its electronic medical record vendor is working on the problem. If records must be sent electronically and the portal fails, call the treating physician’s office directly.
Main portal
My Health Record powered by Greenway Health.
Oncology portal
CareSpace is separately linked for Hematology & Oncology.
Service area
Sarasota and Manatee counties, Florida.
Start with the correct portal
Which Intercoastal Medical Group patient portal should you use?
MOST INTERCOASTAL PATIENTS
My Health Record
Use the main My Health Record portal if you receive primary care or most specialty care through Intercoastal Medical Group.
Best starting point for available appointments, records, lab results, forms, secure communication and physician-account tasks.
HEMATOLOGY & ONCOLOGY
CareSpace
Intercoastal places a separate Hematology and Oncology Portal link in its main patient navigation.
If you are receiving cancer or blood-disorder treatment, confirm with that department whether your current information is in CareSpace rather than My Health Record.
URGENT OR PORTAL FAILURE
Call the treating office
Do not keep retrying the portal when the issue is time-sensitive, an appointment needs to be changed today or records must be transmitted promptly.
Your physician’s office is the correct fallback for immediate patient-care and medical-record routing needs.
Fast rule:
Use My Health Record for most Intercoastal care, CareSpace for Hematology and Oncology when directed, and the actual physician office when the portal cannot safely wait.
Direct login workflow
How to sign in to the Intercoastal Medical Group patient portal
Use Intercoastal’s official portal destination
The main Intercoastal Patient Portal link currently opens My Health Record at myhealthrecord.com.
Confirm the page says My Health Record
The current login is operated by Greenway Health. Do not enter credentials into a random third-party “portal login” directory.
Enter your username
Use the username created for your patient portal account rather than assuming your email address is automatically the username.
Enter your password
Type it carefully and avoid repeatedly guessing if you are uncertain.
Select Continue
Allow the secure system to load your patient account.
Check that the patient identity is correct
Before reading results or paying a bill, confirm that you are inside the intended patient’s record, particularly when a caregiver manages more than one family member.

Bookmark the correct login after you reach it.
This reduces the chance of later clicking a third-party result that uses Intercoastal’s name but is not the medical group or Greenway Health.
Account recovery
Forgot your Intercoastal portal username?
My Health Record currently provides a built-in Forgot Username tool. You do not need to create a second patient account simply because the username was forgotten.
Select “Forgot Username?”
Use the recovery option on the official My Health Record login page.
Enter the patient’s first name
Use the name associated with the medical account.
Enter the patient’s last name
Match the name stored by the practice.
Enter date of birth
The current form requests the date in MM/DD/YYYY format.
Enter ZIP code
Use the ZIP code associated with the patient record.
Submit the recovery request
If the system still cannot identify the account, contact Intercoastal rather than opening multiple duplicate accounts.
Common mismatch:
Portal recovery can fail when the medical practice has an old ZIP code, former surname or different demographic information. Ask the treating office to verify the demographics attached to your chart.
Sign-in help
Password not working? Avoid making the problem worse
You know the username but the password fails
Use the portal’s official sign-in help or password-reset option rather than trying many old passwords.
Your browser automatically fills an old password
Delete the saved password entry or manually type the current credential.
You recently changed the password
Make sure another device is not repeatedly submitting an older saved password.
You cannot remember either credential
Recover the username first, then reset the password through the official account-help process.
The account still cannot be identified
Ask Intercoastal to verify your patient demographics and portal registration.
You urgently need clinical information
Stop troubleshooting and call the physician’s office when waiting could delay care.
Current troubleshooting
Intercoastal Medical Group patient portal not working? Try these fixes in order
First understand the current situation:
Intercoastal itself currently acknowledges portal performance problems involving time-outs, slowness and failure to retrieve or upload information. A problem may therefore be on the system side rather than your device.
Portal problem, likely cause and best next step
| Problem |
Possible reason |
What to do |
| Page keeps spinning |
Portal time-out or current vendor performance issue. |
Wait briefly, reload once and avoid submitting the same form repeatedly. |
| Login page displays incorrectly |
Old cached website files or cookies. |
Clear cache and cookies for myhealthrecord.com and reopen the browser. |
| Portal works on phone but not office computer |
Workplace security restrictions or network filtering. |
Try a personal device using secure home Wi-Fi or trusted mobile data. |
| Username is rejected |
Wrong username or demographic mismatch. |
Use Forgot Username with first name, last name, birth date and ZIP. |
| Information will not upload |
Current portal performance limitation or file/session problem. |
Do not keep uploading duplicates. Contact the office if the document is important. |
| Records fail to send |
Portal data-retrieval or transmission problem. |
Intercoastal currently directs patients to call their physician’s office for electronic record transmission. |
| Portal suddenly signs you out |
Security timeout or active portal performance issue. |
Sign in again only after confirming that your previous submission saved. |
| Oncology records are missing |
The department may use CareSpace instead. |
Check with Hematology & Oncology before assuming the record has disappeared. |
What the portal is for
What patients can use My Health Record to manage
Greenway’s My Health Record platform is designed around patient access to health information, appointment requests, laboratory results, online health-history forms and secure communication. The exact menu available to you depends on what Intercoastal and your specific department have enabled.
R
Health records
Review available clinical information released into the portal.
LAB
Lab results
View eligible laboratory results after they reach the portal.
A
Appointments
Established patients may use available portal appointment-request tools.
F
Forms
Complete or review online health-history and administrative forms when enabled.
M
Messages
Use secure communication for appropriate non-emergency interactions with the practice.
$
Payments
Intercoastal allows physician-account payment through the patient portal.
Portal access does not mean every function is available for every provider.
A specialty may require a telephone appointment, an outside imaging center may not feed results directly into the portal, and a particular form may still need to be downloaded separately.
Lab and test information
How to handle test results in the Intercoastal patient portal
Check the portal after the expected processing period
Laboratory and diagnostic tests do not all finish at the same speed.
Confirm the test is the one you expected
Compare the test name and collection or procedure date.
Do not diagnose yourself from a colored flag
A value outside a laboratory reference range is not automatically an emergency and may need interpretation in the context of your health history.
Identify the ordering clinician
The doctor who ordered the test is usually the best place to begin when you need interpretation.
Call when the promised timeframe passes
If a result has not appeared and you were told it should already be available, contact the ordering office.
The lab result is missing
It may still be processing, held for review, completed by an outside laboratory or affected by the current portal retrieval issue.
The radiology report is missing
Confirm whether the imaging was performed by Intercoastal or an outside facility and ask which system receives the result.
You need the actual CT or MRI images
A written report is different from the image files. Ask the imaging facility what method it uses to transfer the actual study.
A result looks concerning and symptoms are worsening
Call the treating office. Use emergency care immediately when serious warning symptoms occur.
Result follow-up script
“I completed [test] on [date] ordered by [provider]. I expected the result by [timeframe], but I cannot see it in My Health Record. Can you confirm whether the result is complete, whether the physician reviewed it and how I will receive the interpretation and next-step instructions?”
Schedule correctly
Using the patient portal for Intercoastal appointments
Intercoastal says established patients may log in to the portal to request appointments and update forms. The practice also provides a separate public appointment-request form.
Select the correct provider or department
Intercoastal has primary-care and numerous specialty departments across several Sarasota and Manatee County offices.
Choose the correct visit reason
An annual visit, specialist follow-up, new symptom, procedure visit and post-hospital appointment may require different scheduling.
Submit the portal request if the option is available
Not every appointment type is necessarily bookable online.
Wait for confirmation
A submitted request should not be treated as a confirmed appointment until the practice provides the actual date and time.
Check the location carefully
Intercoastal operates multiple offices and some departments can temporarily move between buildings.
Save preparation instructions
Specialty appointments may require fasting, medication adjustments, outside records or imaging.
Do not use the online appointment request for an urgent problem or to reschedule an existing appointment.
Intercoastal specifically instructs patients in those situations to call the provider’s office.
The public appointment-request form currently says a scheduler will respond within 3 business days. That waiting period is another reason the form is inappropriate for urgent symptoms.
Medication workflow
What to do when you need a prescription refill
Your portal shows an active medicine
Use the available medication or messaging function when your provider has enabled refill requests.
The medicine is not selectable
It may have expired, have no authorized refills left or require an office visit or laboratory monitoring.
The dose displayed looks wrong
Do not change the dose based only on the portal display. Confirm the current prescription with the physician or pharmacy.
The pharmacy says nothing arrived
Verify the exact pharmacy location and ask the treating office whether the request was approved.
You are almost out of medicine
Do not wait until the final dose to start the refill process.
The medication issue is urgent
Call the treating physician’s office instead of relying on a portal message.
Secure communication
When to message through the portal—and when to call instead
Good portal message
“I had the test ordered at my last appointment. Has the doctor reviewed it, and what follow-up should I schedule?”
Better handled by phone
“My symptoms have suddenly become worse today and I need to know whether I should be seen.”
Call 911
Severe chest pain, major difficulty breathing, stroke symptoms, loss of consciousness or another life-threatening emergency.
Make a portal message easier to answer
State the specific problem in the first sentence
Include the relevant test or appointment date
Use the medication name and strength for refill questions
Name the specialist or facility for referral questions
Avoid sending several duplicate messages
Include the action you need from the office
Get the document you actually need
How to request Intercoastal Medical Group medical records
The patient portal may give you immediate access to some information, but a formal records request remains necessary when you need a complete chart or records sent directly to another provider.
Check the portal first for a simple document
If you only need a recent result or readily available record, it may already be visible.
Use Intercoastal’s Patient Forms page for formal requests
The practice publishes Medical Records Request forms beneath individual specialties and providers.
Select the treating physician’s request form
Do not send a provider-specific records request to an unrelated Intercoastal office.
Enter complete patient identification
Use the legal name, birth date and current contact information.
Specify what needs to be released
Ask for the date range and record type actually needed rather than automatically requesting every page in the chart.
Identify the recipient precisely
Include the doctor or facility name and accurate delivery information.
Sign the authorization
Records cannot simply be released to another person without the required authorization.
Submit to the physician’s office
Call the treating office when timing is important or the portal is currently unable to send records.
Former Intercoastal physician:
Intercoastal’s forms page tells patients requesting records from a physician no longer with the group to fax the request to 941-954-4440 or mail it to Intercoastal Medical Group Corporate Office, 943 S. Beneva Road, Suite 306, Sarasota, FL 34232.
Separate specialty system
Intercoastal Hematology & Oncology uses a separate CareSpace portal
One of the easiest mistakes is assuming that every Intercoastal Medical Group record must appear inside My Health Record. The official Intercoastal navigation provides a separate Hematology & Oncology Portal through CareSpace.
My Health Record
Main portal for most Intercoastal Medical Group patients.
CareSpace
Separate portal destination linked by Intercoastal for Hematology and Oncology.
Do not create a new My Health Record account simply because oncology information is missing.
Ask the cancer-care team which portal holds the information you need.
CareSpace’s current login uses an email address and password, and the system may require multi-factor authentication for additional security.
Pay the correct bill
Using the Intercoastal portal for bill payment
Intercoastal allows patients to pay physician bills through the patient portal or its separate online bill-pay page.
PHYSICIAN SERVICE
Portal or Intercoastal online bill pay
Use these systems for balances connected to medical services rendered by an Intercoastal physician.
SURGERY CENTER
Separate payment process
The physician-payment portal should not be used for the Intercoastal Surgery Center.
UNFAMILIAR BALANCE
Compare before paying
Match the service date, physician, insurer explanation of benefits and patient responsibility.
A physician, surgery center, anesthesia provider, pathology lab or outside laboratory may bill separately.
Intercoastal physician billing policy
Bring current insurance cards to every visit
Copays are collected at the time of service
Coinsurance may be collected at the time of service
Applicable deductibles may be due at the visit
Previous patient-responsibility balances may also be collected
HSA use does not eliminate the practice’s payment-at-service policy
Past-due balance warning:
Intercoastal states that a past-due patient balance may have to be paid in full before another appointment is scheduled and that failure to pay may result in dismissal from the practice.
Portal profile is not coverage confirmation
Updating insurance in the portal does not prove the visit is in network
Intercoastal accepts many commercial, Medicare and Medicare Advantage plans, but the exact product matters. Seeing an insurance card or policy inside your portal account does not guarantee that a specific physician, service or plan network is covered.
Commercial plans
Current examples include Aetna, AvMed, Blue Cross Blue Shield of Florida, Cigna, Humana, UnitedHealthcare and several network products.
Traditional Medicare
Intercoastal currently lists Medicare and Railroad Medicare.
Medicare Advantage
Selected UHC, AARP and Humana products are listed, while Aetna Medicare Advantage has important restrictions.
Aetna Medicare Advantage needs special attention.
Intercoastal currently lists most Aetna Medicare Advantage plans as out of network. The stated exception is a qualifying Aetna Medicare Advantage PPO-ESA employer-group product.
Best verification:
Call the insurer using the number on the insurance card and give the representative the exact Intercoastal physician, location and planned service.
Protect medical information
Patient portal security rules worth following
Enter credentials only on the official My Health Record login
Do not reuse a banking or primary email password
Do not send passwords through email or text
Avoid logging in through unknown public Wi-Fi
Sign out when using a shared computer
Do not allow a browser on a public computer to save the password
Verify the patient identity before sending records
Use authorized caregiver access rather than casually sharing credentials
Portal privacy matters because it contains more than test results.
A patient account may expose medical history, appointments, communications and payment information. Treat the login like any other sensitive financial or medical credential.
Local Sarasota & Bradenton tips
Small Intercoastal portal habits that prevent bigger problems
01
Bookmark My Health Record
Avoid searching for the portal from scratch every time you log in.
02
Know your specialty portal
Hematology and Oncology patients may need CareSpace instead.
03
Save your physician’s direct office number
The portal should never be your only way to reach the medical practice.
04
Do not duplicate uploads
If the portal times out, first confirm whether the original document actually saved.
05
Download important results
Keep a copy when a document will be needed for travel, surgery or an outside specialist.
06
Request records before deadlines
Do not discover a portal problem the night before an outside specialist appointment.
07
Separate physician and surgery bills
The portal physician-payment option does not replace the Surgery Center payment process.
08
Verify appointment location
Intercoastal has multiple Sarasota and Manatee County buildings, sometimes with more than one specialty.
09
Call for worsening symptoms
A secure portal is useful for routine communication, but it is not a substitute for timely clinical triage.
