Use Summit Medical Group Without Calling the Wrong Office or Visiting the Wrong Clinic

Summit Medical Group is a large independent Tennessee medical group with more than 500 providers and more than 90 locations across 23 counties. Its network includes primary care, pediatrics, urgent care, imaging, laboratory services, physical therapy, sleep care and selected specialties.

This guide explains the patient process inside one page: where to start, which type of care to choose, how to schedule, what the portal can do, which insurance plans are listed for 2026, what payments may be due, and how to request records or challenge an unexpected self-pay bill.

Confirm which Summit organization you need. This page covers the Tennessee practice at summitmedical.com. A patient whose doctor is in New Jersey, New York or Connecticut likely needs Summit Health, which has a separate website, location system, billing process and patient portal.
Do not use online scheduling for an emergency. Call 911 or go to the nearest emergency department for chest pain, severe breathing difficulty, possible stroke, uncontrolled bleeding, loss of consciousness or another condition that may be life-threatening.

Start with the correct care path

Which Summit Medical Group service should you use?

PRIMARY CARE Routine, preventive or ongoing care

Choose a family medicine, internal medicine or pediatric office for annual visits, chronic-condition management, medication follow-up, preventive screening and referrals.

Best for: regular care, diabetes, blood pressure, preventive visits, long-term medication management and non-urgent symptoms.
EXPRESS CLINIC Same-day non-emergency problem

Express Clinics evaluate common illnesses and minor injuries for patients age two and older. You do not need to be an established Summit patient.

Best for: flu-like illness, sore throat, earache, rash, nausea, urinary symptoms, minor cuts, sprains and possible simple fractures.
911 OR EMERGENCY DEPARTMENT Potentially life-threatening symptoms

Urgent care is not a substitute for emergency treatment when delay could place a person at serious risk.

Use emergency care for: chest pain, severe breathing trouble, stroke warning signs, uncontrolled bleeding or loss of consciousness.
Fastest practical rule: Use your regular physician office when the problem can wait, Express Clinic when it needs same-day outpatient attention, and 911 or an emergency department when the condition could threaten life or permanent function.

Jump directly to the patient task you need

Important instructions are explained below so you do not have to open several official pages simply to understand the process.

Avoid the wrong portal

Summit Medical Group Tennessee and Summit Health are not the same patient system

Use this Tennessee guide when
  • Your office is in Knoxville or another Tennessee county.
  • Your paperwork says Summit Medical Group.
  • Your portal is hosted through the Tennessee Summit athenahealth account.
  • The main address is on Dick Lonas Road in Knoxville.
You may need Summit Health when
  • Your provider is in New Jersey, New York or Connecticut.
  • Your appointment confirmation says Summit Health.
  • Your office refers you to a different Athena portal.
  • Your billing office uses a New Jersey or New York contact.
Portal safety check: Before entering your date of birth, payment information or medical details, compare the organization name and location on your appointment notice with the portal heading.

Do not choose a location by distance alone

Confirm that the location offers the service you need
Confirm that your selected provider works there
Check whether the office accepts new patients
Verify your exact insurance product at that office
Check whether a referral or physician order is required
Review the live closing page on the appointment day
Local travel tip: A physician office, laboratory, imaging center and physical therapy clinic may be separate facilities. Check every address on the appointment itinerary instead of assuming all services occur in the same building.
Appointment workflow

How to schedule the right Summit Medical Group visit

Choose the care category first Decide whether you need primary care, pediatrics, a specialty, imaging, laboratory work, physical therapy, sleep services or same-day Express care.
Search by ZIP code, county or physician Use the physician directory when you need a doctor. Use the location directory when you already know the service but need the nearest facility.
Check new-patient status A provider may appear in the directory but may not be accepting new patients. Pediatric provider availability is published by office and can change.
Verify the exact insurance product Do not ask only whether an insurer such as Aetna, Cigna, BlueCross or UnitedHealthcare is accepted. Give the office the complete product and network name printed on the card.
Ask whether an order or referral is needed Imaging, physical therapy, sleep testing and specialty appointments may require clinical documentation, an order, prior authorization or an insurance referral.
Schedule through the correct channel Call the physician office directly for medical questions and appointment help. Use the portal when that provider offers online scheduling. Express Clinic appointments use the separate Express scheduling system.
Save the exact office details Record the provider name, street address, suite, arrival time, phone number, parking instructions and cancellation deadline.
Cancel at least 24 hours ahead Summit states that a missed appointment or late cancellation may result in a $40 fee.
Appointment call script
“I would like to schedule with [provider or service]. I am a [new/existing] patient. My insurance is [full plan and network name]. Can you confirm that this provider and location are in network, whether I need a referral or prior authorization, what records I should bring, and the amount expected at check-in?”
Prevent delays

What to bring to a Summit Medical Group appointment

Government-issued photo identification
Current primary and secondary insurance cards
Referral or authorization when required
Medication list with dose and frequency
Allergy and adverse-reaction list
Recent test results or outside medical records
Name and contact of your regular pharmacy
Copay or expected self-pay amount
Questions written in priority order
A legal-representative document when applicable

2
Pattern

What triggers it, relieves it or makes it return?

3
Treatments tried

List medicines, home treatments and their effect.

Useful local shortcut: Save the direct number for your physician office. Summit directs medical questions, refill requests and appointment concerns to the treating office rather than the central billing number.

Summit Express Clinics treat patients age two and older. You do not need to be an established Summit Medical Group patient.

Common illnesses

Cold and flu symptoms, sore throat, earache, allergies, rash, nausea, vomiting and urinary problems.

Minor injuries

Minor cuts requiring stitches, sprains and evaluation of possible uncomplicated fractures.

Vaccinations

Available vaccines may include flu, COVID-19, hepatitis, pneumonia, shingles, MMR, Tdap, HPV and others.

Hours require a final live check: The general clinic page lists daily hours of 8 a.m. to 8 p.m. and says all sites close from 2 p.m. to 3 p.m. for lunch. The scheduling page announces a 7 a.m. opening for Bearden Hill and Fountain City. Verify the selected clinic before driving.

Portal troubleshooting

What to check when the Summit portal does not show what you need

The portal logo or state looks wrong Confirm that you opened the Tennessee Summit Medical Group portal rather than Summit Health in New Jersey, New York or Connecticut.
An older result is missing Summit specifically describes portal results for tests occurring after September 1, 2020. Request older information from the physician office or medical-records department.
A recent result has not appeared The laboratory may have completed the test while the provider has not yet reviewed or released it. Contact the ordering office when the expected timeframe has passed.
You changed your phone or email Ask the physician office to verify the contact information associated with your patient account before attempting repeated password resets.
The appointment is not available online Not every provider, appointment type or location offers the same online scheduling options. Call the individual physician office.
You need proxy access for a child or adult Contact the treating office for the correct authorization and identity-verification process instead of sharing another person’s password.
A refill request is time-sensitive Send the request early and call the physician office if the medication may run out before the normal response window.
The bill looks unfamiliar Compare the service date, provider, insurer explanation of benefits and patient balance before submitting payment.

2026 plan information

Insurance accepted by Summit Medical Group in 2026

Summit participates in many commercial, marketplace, Medicare, TennCare and vision products. Acceptance is based on the exact product, network, provider and location—not merely the insurance-company name.

Never rely only on a general plan list. Call the Summit office and the insurer using the member-services number on the card. Ask both parties to verify the provider, location and planned service.
Major 2026 accepted plan categories and limitations
Category Plans or networks listed Important limitation
Aetna commercial Open Choice, Traditional Choice, Managed Choice, Elect Choice, PPO and POS products. Aetna Medicare Advantage is listed as not accepted; selected Medicare products may vary by office.

TennCare BlueCare, TennCare Select, UnitedHealthcare Community Plan and Wellpoint. Confirm provider assignment and referral requirements.

Billing and payment rules

What patients should know before paying a Summit Medical Group bill

Provide complete insurance information Summit files claims using the information supplied by the patient. Bring updated primary and secondary insurance cards and verify demographic information.
Pay the visit-time amount Copay, deductible and coinsurance amounts are due when services are provided according to the insurance contract.
Allow the insurer to process the claim Compare the insurer’s explanation of benefits with the Summit statement. An explanation of benefits is not itself a medical bill.
Review the remaining patient balance After insurance pays or denies its portion, the remaining covered or non-covered amount may become the patient’s responsibility.
Question mismatched details before paying Check the service date, provider, location, procedure description, insurance payment and adjustment before assuming the balance is correct.
Self-pay

Summit accepts patients who choose to pay out of pocket when insurance is unavailable or not being used.

Restricted insurance filing

Services a patient asks Summit not to submit to insurance must be paid in full at the time of service.

Late cancellation

A missed appointment or cancellation made less than 24 hours in advance may result in a $40 fee.

Billing-question call script
“I am calling about the statement for service date [date]. My account shows [amount], but my insurer’s explanation of benefits shows [amount or status]. Please explain the charge, insurance payment, adjustment and patient responsibility, and tell me whether the claim needs correction or reprocessing.”

How the Summit Medical Group Good Faith Estimate process works

A Good Faith Estimate is intended for patients who do not have insurance or who have coverage but choose not to use it for the planned service.

Ask when scheduling Request a written estimate covering the expected service and related costs such as testing, prescription drugs, equipment and facility fees when applicable.
Know the timing rule When a service is scheduled at least three business days ahead, the estimate should be provided within one business day after scheduling.
For appointments scheduled farther ahead When the service is scheduled at least 10 business days ahead, the estimate should be provided within three business days.
You may ask before scheduling Summit states that a requested estimate should be provided in writing within three business days even when the service has not yet been scheduled.
Save the estimate Keep the complete estimate, provider name, date, service description and any messages discussing the quoted amount.
Compare the final bill Review whether the billed provider, facility and service match the estimate rather than comparing only the total.
$400 dispute threshold: Summit states that a bill at least $400 higher than the Good Faith Estimate from that provider or facility may be disputed. Save both the estimate and bill and contact Patient Relations at 865-584-4747.
Medical-record request

How to request Summit Medical Group medical records

Choose online or paper submission Summit allows an online records request or submission of its Authorization for Disclosure of Medical Information form.
Identify the patient completely Enter the legal name, date of birth, address, telephone number and patient number when known.
Use a specific date range Request only the period needed. A clear beginning and ending date can reduce delay and unnecessary pages.
Select the record type Options include the complete record or selected consultation reports, examinations, X-ray reports, visit notes, laboratory tests, images, billing information or behavioral-health records.
Complete sensitive-information consent The form requires separate initials to release information related to HIV or AIDS, mental-health care, or alcohol and drug treatment when those records are included.
Name the recipient and purpose Provide the person or organization receiving the records and where the records should be sent.
Sign the authorization The patient normally signs. A parent, legal guardian, estate representative or surviving spouse may need supporting documentation in special circumstances.
Allow processing time Summit asks patients to allow up to 10 days for delivery.
Summit Medical Group records department
Method Official detail What to include
Phone or fax 865-212-2293 Patient name, birth date and request status when calling.
Email questions records@summithealthcare.com Avoid sending unnecessary sensitive details in an unsecured message.
Mail Summit Medical Group, Attn: Datavant, 1275 Dick Lonas Road, Suite 200, Knoxville, TN 37909 Completed signed authorization and required representative documents.
Online Start from Summit’s official medical-records page. Verify the patient identity and requested recipient before submission.
Who may sign? A parent or legal guardian may sign for a minor. A legal guardian for an incompetent patient should include durable power-of-attorney documentation. For a deceased patient, Summit instructs the estate executor or surviving spouse to include a death certificate.
After the appointment

How to handle results, prescriptions, referrals and follow-up

You are waiting for a test result Check the portal, then contact the ordering office if the timeframe discussed at the visit has passed. Ask whether the test is complete, pending review or awaiting release.
A result is marked abnormal Do not diagnose yourself from a flag alone. Reference ranges and clinical importance depend on the test, symptoms and medical history.
You need a routine refill Submit the request before the medication runs out. Include the medication name, strength, directions and correct pharmacy.
The pharmacy says no prescription arrived Confirm the pharmacy location and whether the medication requires a new appointment, monitoring test or insurance authorization.
A specialist has not contacted you Ask the referring office whether the referral was sent, which specialist received it and whether insurance authorization is complete.
An imaging center has no order Contact the ordering office rather than repeatedly calling unrelated Summit locations. Confirm the exact imaging facility and fax destination.
Your symptoms are worsening Contact the treating office for clinical guidance. Use emergency care immediately when serious warning signs develop.
You need a complete copy for another doctor Use the formal medical-record request rather than relying only on portal screenshots.
Result follow-up script
“I had [test] on [date] ordered by [provider]. I was told to expect the result by [timeframe]. Can you confirm whether the test is complete, whether the provider has reviewed it, and how I should receive the interpretation and next-step instructions?”
Local patient shortcuts

Practical Tennessee tips that can prevent repeat calls and wasted trips

01
Check every facility separately

A provider office may be open while its imaging, laboratory or therapy location has changed hours.

02
Plan around Express lunch closure

The general urgent-care page states that all Express sites close from 2 p.m. to 3 p.m.

03
Use the full insurance name

“BlueCross” or “UnitedHealthcare” is not enough. Give the office the exact network shown on the card.

04
Keep the direct office number

Medical questions and refills belong with the physician office, not the central billing department.

05
Ask for costs before testing

Confirm the professional fee, technical fee, facility, contrast charge and insurer authorization when relevant.

06
Request records early

Summit asks patients to allow up to 10 days, so do not wait until the day before a specialist appointment.

07
Cancel before the 24-hour cutoff

Late cancellation or a missed appointment may trigger a $40 charge.

08
Save estimates and authorization numbers

Keep screenshots or written copies in case the final bill or insurance decision differs.

09
Check weather-related closings

Review the live closing page on the appointment day, especially when traveling from another county.
