Emergency warning: Call 911 for chest pain, severe breathing difficulty, sudden stroke symptoms, uncontrolled bleeding, loss of consciousness, a major injury or another condition that may threaten life or permanent function. Do not wait for a portal message or weekend-clinic appointment.
Spelling check: The organization is Intercoastal Medical Group. It is sometimes mistakenly searched as “Intercostal Medical Group,” which refers to the muscles and nerves located between the ribs rather than the Florida medical practice.
Service area
Sarasota and Manatee counties, Florida.
Provider network
More than 100 physicians and healthcare professionals.
Patient portal
My Health Record; oncology uses CareSpace.
Weekend care
Two appointment-only clinics for existing primary-care patients.
Start with the correct destination
Which Intercoastal Medical Group care option should you use?
PRIMARY OR SPECIALTY OFFICE
Routine or ongoing medical care
Call the treating office for preventive visits, chronic-condition management, specialist consultations, medication follow-up, test interpretation and symptoms that can safely wait.
Best for: annual care, diabetes, blood pressure, long-term symptoms, referrals, scheduled procedures and ongoing treatment.
WEEKEND CARE CLINIC
Non-emergency illness or injury
Existing Intercoastal primary-care patients may call for a same-day weekend appointment at Hyde Park or Lakewood Ranch II.
Appointment required. Call early because clinics may close after 1 p.m. when patient volume permits.
911 OR EMERGENCY DEPARTMENT
Potentially life-threatening symptoms
Emergency care is appropriate when delay could threaten life, breathing, circulation, brain function or permanent use of a body part.
Use immediately for: chest pain, stroke signs, severe breathing trouble, major trauma, uncontrolled bleeding or unconsciousness.
Practical rule: Start with your regular physician office during normal hours. Use weekend care only after obtaining an appointment. Use 911 or an emergency department when the condition may be serious.
Coordinated Florida medical group
What Intercoastal Medical Group provides
Intercoastal Medical Group provides adult primary and specialty care through multiple offices in Sarasota and Manatee counties. The group emphasizes shared access to patient records among its participating clinicians.
Primary care
Family medicine and internal medicine for preventive care, common illnesses and long-term medical conditions.
Specialty care
Cardiology, gastroenterology, dermatology, orthopedics, neurology, pulmonology, oncology and many other specialties.
On-site support
Laboratory, imaging, physical therapy, clinical research, outpatient surgery and weekend care at selected locations.
Shared records do not replace clear follow-up: Ask which physician will explain each result, refill medication, review hospital records and arrange the next appointment.
Doctor search workflow
How to find the right Intercoastal Medical Group provider
Start with primary care when you are unsure
Family medicine or internal medicine can assess the problem, order initial testing and decide whether specialty care is needed.
Select the correct specialty
Use the diagnosis or referral information from your current clinician. Similar symptoms may be treated by different specialties.
Review the provider’s location
Intercoastal clinicians may work at Beneva, Cattleridge, Hyde Park, Lakewood Ranch or Palmer Ranch offices.
Call the department directly
The location pages publish separate telephone numbers for each specialty. Calling the correct department reduces transfers.
Confirm new-patient availability
A provider appearing in the directory may have a future opening, a waiting list or restrictions on new appointments.
Verify your exact insurance network
Give the office the carrier, product, plan type and network shown on the card.
Ask about referrals and authorization
Some specialist visits, imaging studies, procedures and therapies require insurer approval.
Save the complete address and suite
Some buildings contain several Intercoastal departments. The street address alone may not identify the correct check-in desk.
New-patient call script
“I would like to schedule with [provider or specialty]. My insurance is [complete plan and network]. Is the provider accepting new patients at this location? Do I need a referral or authorization, what records should I send, and what amount is expected at check-in?”

How to request an Intercoastal Medical Group appointment
Choose the provider or department
Use the provider directory and location pages to identify the correct specialty and office.
Call the direct office or use the request form
New patients can submit an online request. Existing patients may also use available portal appointment tools.
Wait for confirmation
An online appointment request is not the same as a confirmed date and time. Do not travel until the office responds.
Verify insurance and referral status
Give the office the exact insurance product and ask whether a referral or authorization is required.
Confirm the visit type
State whether the appointment is a new-patient visit, annual wellness visit, physical examination, symptom visit, procedure or specialist consultation.
Save preparation instructions
Record fasting, medication, transportation, imaging and document requirements.
Confirm the exact location
Recheck temporary relocations, the building name, suite and department phone shortly before the appointment.
Do not submit an appointment form for an emergency. Online requests may not be reviewed immediately, overnight, during weekends or on holidays.
Prevent check-in delays
What to bring to an Intercoastal appointment
Government-issued photo identification
Current primary and secondary insurance cards
Referral or authorization information

Relevant outside laboratory and imaging reports
Actual CT, MRI or X-ray images when requested
Preferred pharmacy name and location
Expected copay, coinsurance or deductible payment
Written questions in priority order
Use the correct packet: Intercoastal publishes different forms for primary care, cardiology, audiology and other specialties. Download the packet listed under your department rather than using a random generic form.
Secure online patient access
Intercoastal Medical Group patient portal features
Most Intercoastal patients use My Health Record. Hematology and oncology patients may be directed to a separate CareSpace account.

Portal troubleshooting
Patient portal not working? Check these causes
You forgot the username
Use the official recovery option with the patient’s first name, last name, date of birth and ZIP code.
The login screen will not load correctly
Clear the browser cache and cookies and use an updated browser.
A work network blocks the portal
Try a personal device using secure home Wi-Fi or a trusted mobile-data connection.
A result is missing
The test may still be processing, waiting for clinical review, stored in another system or sent to an outside reference laboratory.
A refill cannot be selected
The prescription may be expired, require monitoring, need an appointment or have no remaining authorized refills.
An appointment type is unavailable
Not every provider, specialty or visit can be scheduled online. Call the physician office.
You need oncology information
Confirm whether the hematology and oncology department expects you to use CareSpace rather than My Health Record.
You need records sent immediately
Call the treating physician office instead of relying only on portal record transmission.
Portal identity tip: Do not create repeated accounts when password recovery fails. Duplicate accounts can make appointment, medication and record access more confusing.
Appointment-only weekend care
Intercoastal Medical Group weekend clinics
Weekend care is for existing Intercoastal primary-care patients who need timely treatment for a non-life-threatening illness or injury. Patients must call ahead and obtain a same-day appointment.

Confirm the order was received
Call the draw station when the order came from another office or was recently changed.
Ask whether fasting is required
Do not assume every blood test requires fasting. Follow the ordering clinician’s specific instructions.
Ask about medication instructions
Do not stop a prescribed medicine unless a clinician specifically tells you to do so.
Verify the laboratory network
Some insurance plans require particular reference laboratories for certain tests.
Bring photo ID and insurance cards
Confirm the information even when the laboratory is located inside a familiar Intercoastal building.
Ask how results will be communicated
Confirm whether the result will appear in the portal, be discussed by telephone or require a follow-up visit.
Warfarin monitoring: Intercoastal states that selected primary-care and cardiology offices can assist patients taking Coumadin or warfarin. Call the treating office directly for scheduling.
Accredited diagnostic imaging
Where Intercoastal imaging tests are performed
Intercoastal states that its imaging department is accredited by the American College of Radiology and that studies are interpreted by board-certified professionals with advanced imaging training.

Aetna Medicare Advantage requires special attention. The official sheet says the PPO-ESA employer-group product is the only Aetna Medicare Advantage exception. A non-ESA PPO patient may have to pay the Medicare rate in full at the visit while Intercoastal files a courtesy claim and Aetna reimburses the patient according to benefits.
General out-of-network rule: The official sheet states that patients with an out-of-network PPO generally pay in full at the visit and receive any insurer reimbursement directly. Intercoastal states that it cannot see patients with out-of-network HMO plans.
Read the full product name from the card
Include PPO, HMO, HMO-POS, employer group, Medicare Advantage or other network wording.
Call the Intercoastal office
Ask whether the provider, location and planned service participate in that exact product.
Call the insurance company
Use the member-services number and provide the physician, facility and procedure.
Ask about referral and authorization rules
Participation alone does not guarantee that the claim will be paid.
Ask about laboratory and imaging networks
A medical office can be in network while a reference laboratory or separate service is not.
Record the confirmation number
Save the date, representative and exact coverage answer.
Insurance verification script
“My plan is [complete product and network], member ID [number]. I am seeing [provider] at [exact location] for [visit, test or procedure]. Is the doctor and location in network? Do I need a referral or authorization, and should I expect separate laboratory, imaging, surgery-center or pathology charges?”
Patient financial responsibility
Intercoastal Medical Group billing and payment rules
Bring current insurance information
Intercoastal files claims when it has accurate coverage information. Bring every active insurance card to each visit.
Expect payment at check-in
Copays, coinsurance, deductibles and previous patient-responsibility balances are collected at the time of service.
HSA patients still pay at the visit
Intercoastal states that use of a health savings account does not create an exception to its collection policy.
Review planned procedure costs
The practice analyzes surgery and procedure charges before service and may require partial payment in advance.
Compare the statement with insurance
Review the submitted charge, allowed amount, payment, adjustment and patient responsibility on the explanation of benefits.
Contact Patient Accounts before the balance becomes older
Past-due balances may have to be paid before another appointment can be scheduled and may lead to dismissal from the practice.
Business office
943 S. Beneva Road, Suite 306, Sarasota, FL 34232.
Accepted payment methods
Cash, check, Visa, MasterCard and Discover are listed.
Pay the correct organization. The online physician portal should be used only for services provided by your physician. The Intercoastal Surgery Center uses a separate payment and billing process at
941-379-5884.
Medicare wellness visit versus physical examination
Medicare annual wellness visit
Focuses on required health questions, risk review and preventive planning. Intercoastal explains that it does not include a traditional head-to-toe physical examination.
Physical examination or problem treatment
Medicare generally does not pay for a routine physical examination. Treatment of a medical condition during a wellness visit may also create a separate office-visit charge.
Billing question script
“I am calling about the charge for service date [date]. My statement shows [amount], while the insurer’s explanation shows [amount or denial]. Please explain the charge, adjustment and patient responsibility, and tell me whether a corrected claim, referral or authorization review is needed.”
Health-information request
How to request Intercoastal Medical Group medical records
Check the patient portal first
My Health Record may provide the specific result, medication list or document you need immediately.
Open the patient-forms page
Intercoastal publishes medical-record request forms beneath individual specialties and providers.
Select the form for the treating physician
Do not send a provider-specific request to an unrelated office.
Identify the patient completely
Provide the legal name, date of birth, contact information and any former name relevant to older records.
Use a specific date range
Request only the period needed when a focused record set will solve the problem.
Name the record type
Examples include visit notes, laboratory results, imaging reports, actual images, procedure reports or medication history.
Identify the recipient
Provide the complete physician, patient or organization name and a secure fax, mailing address or approved delivery method.
Complete sensitive-information permission
Behavioral-health, substance-use, HIV and other protected information may require specific authorization.
Sign with proper authority
A guardian, agent or estate representative may need documentation proving the legal right to request the information.
Submit it to the physician office
Confirm receipt and ask when the records are expected to be sent.
Former Intercoastal physician: The official forms page instructs patients to fax requests to
941-954-4440 or mail them to Intercoastal Medical Group Corporate Office, 943 S. Beneva Road, Suite 306, Sarasota, FL 34232.
Imaging transfer tip: Ask whether the receiving specialist needs only the radiology report or also the actual CT, MRI, PET or X-ray image files.
Outpatient procedure center
Intercoastal Medical Group Ambulatory Surgery Center
Intercoastal Medical Group Ambulatory Surgery Center
3333 Cattlemen Road, Suite 100
Sarasota, FL 34232
Phone: 941-379-5884
The center is a Medicare-certified, Florida-licensed, AAAHC-accredited outpatient facility. Intercoastal states that it performs more than 9,000 procedures each year.
Procedure areas
Gastroenterology and endoscopy, orthopedics, general surgery, ENT, gynecology, podiatry, pain care, vascular surgery, urology and selected cardiology procedures.
Facility fee may include
Nursing, technicians, facility use, selected on-site tests, medications administered at the center, supplies, equipment and dressings.
Possible separate bills
Surgeon, anesthesia, pathology and outside laboratory services may bill separately and may have different insurance networks.
The surgery center does not provide after-hours medical care. Contact the surgeon’s office for an urgent postoperative concern. Call 911 or use the nearest emergency department when the condition may be an emergency.
Cost estimate and billing protections
Request an estimate before the procedure
The surgery center states that it will respond within seven business days of receiving an estimate request.
Ask about every separate provider
Verify the surgeon, anesthesia group, pathology laboratory and facility network separately.
Compare insurance cost sharing with the cash price
Florida transparency information on the official page states that a patient may choose the lower cash price when it is below the insurance cost-sharing amount for the same service.
Plan payment before arrival
Estimated deductibles and copays are expected on or before the procedure date unless prior arrangements have been approved.
Know the assistance limitation
The center states that it does not offer formal charity care or short-term payment plans. CareCredit financing may be available.
Dispute an incorrect charge quickly
Contact the business office manager at
941-379-5884 and clearly identify the disputed item.
After the appointment
Results, refills, referrals and follow-up
You are waiting for a result
Check the portal, then call the ordering office when the timeframe discussed at the appointment has passed.
A result is marked abnormal
Do not diagnose yourself from a flag. Ask the ordering clinician what it means with your symptoms and medical history.
You need a refill
Submit the request before the medication runs out and confirm the correct drug, strength, instructions and pharmacy.
The refill is denied
Ask whether you need monitoring, an appointment, authorization or a new prescription.
A specialist has not contacted you
Confirm that the referral was sent, received and authorized by insurance.
The imaging office has no order
Contact the ordering office and verify the exact destination and fax information.
Your symptoms are worsening
Call the treating office for clinical guidance. Use emergency care immediately when serious warning signs appear.
You received multiple bills
Identify whether each bill is from the physician, surgery center, anesthesia, pathology, imaging or reference laboratory.
Result follow-up script
“I completed [test] on [date], ordered by [provider]. I was told to expect a result by [timeframe]. Can you confirm whether it is complete, whether the provider reviewed it and how I will receive the interpretation and next-step instructions?”
