Western Washington Medical Group 2026: MyChart & Doctors

North Puget Sound patient guide · Primary care, specialists and MyChart

Navigate Western Washington Medical Group Without Calling the Wrong Department

Western Washington Medical Group, often shortened to WWMG, is a locally owned and provider-run medical group serving communities from the Bothell area north toward Bellingham. Its network includes family medicine, same-day primary care, diagnostic services, surgery and more than 20 medical specialties.

This guide explains the complete patient journey: how to find a provider, request an appointment, use MyChart, avoid a bill-payment mistake, verify insurance, prepare clinic-specific forms and send a medical-record request to the correct office.

Medical emergency: Do not use an appointment form, contact form or MyChart message for chest pain, severe breathing difficulty, stroke symptoms, uncontrolled bleeding, loss of consciousness, a serious injury or another potentially life-threatening problem. Call 911 or go to the nearest emergency department.

Start with the correct care path

Which Western Washington Medical Group service should you use?

PRIMARY CARE Routine, preventive or ongoing care

Use a family medicine clinic for checkups, screenings, immunizations, common illnesses, mental-health support, medication monitoring and long-term conditions.

Best for: preventive visits, chronic care, routine refills, referrals and health concerns that can wait for an office appointment.
SAME-DAY PRIMARY CARE Non-emergency problem needing prompt attention

Several WWMG family medicine clinics reserve a limited number of same-day appointments. These are scheduled visits, not open walk-in clinics.

Best for: minor illness or injury when a primary care provider can safely evaluate the problem that day.
SPECIALIST OR EMERGENCY CARE Complex condition or serious symptoms

Use a WWMG specialist for condition-specific evaluation. Call 911 or use an emergency department when delay could cause serious harm.

Specialist care may require a referral, previous records, diagnostic testing or insurance authorization.
Practical sequence: Contact your regular clinic first, ask whether a same-day slot is appropriate, use an outside urgent care when the clinic cannot safely see you, and use emergency services for life-threatening symptoms.

Go directly to the patient task you need

The important instructions are explained below so patients do not have to open several official pages merely to understand the process.

Provider search

How to find the right Western Washington Medical Group doctor

Start with the medical need Choose primary care for routine and ongoing care or identify the specialist connected to the condition, test or referral.
Search by provider or specialty Use the official directory to search a clinician’s name or review all providers in a specialty.
Check every listed location Some WWMG clinicians see patients at more than one clinic. Confirm which office handles the appointment type you need.
Ask whether the provider accepts new patients Directory inclusion does not guarantee that a new-patient appointment is currently available.
Verify the provider’s role WWMG includes physicians, advanced registered nurse practitioners and physician assistants. Review credentials and specialty information.
Confirm your exact insurance product Give the clinic and insurer the full network name printed on the member card.
Ask about referral requirements A provider may accept your insurance while your plan still requires a primary care referral or prior authorization.
Provider-verification call script
“I would like to schedule with [provider or specialty]. I am a [new/existing] patient and my plan is [full plan and network name]. Is the provider accepting patients, which office handles this service, and do I need a referral, authorization or recent medical records?”
Appointment workflow

How to request a WWMG primary care or specialist appointment

PRIMARY CARE Use the appointment form or call the clinic

WWMG provides an online request form for primary care. The clinic may contact you to confirm availability, provider choice and insurance details.

An online request is not a confirmed appointment until the clinic responds.
SPECIALTY CARE Contact the specialty office directly

Open the specialty page and use the listed phone number. Ask whether the office requires a referral, chart notes, imaging or laboratory results.

Calling the administration office will not schedule a specialist visit.
RESCHEDULING Call at least 48 hours ahead

WWMG asks patients to contact the scheduled clinic at least 48 hours before the visit when rescheduling is necessary.

Individual departments may have additional no-show or cancellation policies.

Information to keep ready

Cardiology Heart symptoms, cardiovascular risk, diagnostic testing and heart-condition management. Do you need a referral, ECG, prior cardiac records or imaging?
ENT, allergy and audiology Ear, nose, throat, allergy, hearing and balance concerns. Will the appointment involve allergy testing or a hearing evaluation?
Endocrinology Hormone, thyroid, diabetes and metabolic conditions. Which recent laboratory results and medication records are required?
Gastroenterology and endoscopy Digestive conditions, colonoscopy, upper endoscopy and related procedures. Which preparation instructions apply and where will the procedure occur?
Imaging MRI, CT, ultrasound, X-ray, mammography and other diagnostic imaging. Is an order or authorization required, and are fasting or contrast instructions involved?
Nephrology Kidney disease, abnormal kidney tests, dialysis-related care and blood-pressure concerns. Which laboratory results and outside nephrology records should be sent?
Orthopedic, sports, spine and hand Bone, joint, muscle, sports, spine, hand and surgical concerns. Bring previous X-rays, MRI images, reports and therapy history when requested.
Pulmonary and sleep medicine Lung disease, asthma, breathing tests, sleep disorders, sleep studies and CPAP care. Is the appointment for a consultation, test, equipment service or follow-up?
Rheumatology Inflammatory, autoimmune and complex musculoskeletal conditions. Which referral notes, laboratory reports and imaging should arrive before review?
Psychology Behavioral and psychological evaluation and treatment. Verify privacy forms, insurance benefits and record-release requirements.
Surgery center Selected outpatient procedures performed in a dedicated surgical setting. Review fasting, medication, transportation and postoperative instructions.
Referral shortcut: When another clinician refers you, ask for the exact WWMG department, provider, fax number and records sent. “WWMG specialist” is not specific enough because departments use different offices and record routes.
Prevent check-in delays

What to prepare before a Western Washington Medical Group visit

Government-issued photo identification
Current primary and secondary insurance cards
Referral or authorization when required
Medication list with dose and frequency
Allergy and medication-reaction list
Recent outside test results and records
Preferred pharmacy name and location
Copay or expected patient payment
Written symptom timeline and questions
Legal representative documents when applicable

Clinic-specific forms matter

WWMG does not use one identical packet for every department. Primary care, endocrinology, gastroenterology, nephrology, pulmonary, sleep medicine, rheumatology, orthopedics and other specialties publish different registration, history, financial and consent forms.

1
Choose the exact clinic

Do not complete a similarly named form for another WWMG department.

2
Read preparation instructions

Procedure, imaging, sleep and specialty visits may require additional preparation.

3
Arrive early when needed

Lake Serene asks patients completing forms at reception to arrive about 15 minutes early.

Messages are not immediate care: WWMG says MyChart replies may take a few days. Call the clinic for an urgent concern and call 911 for an emergency.
Important portal billing rule

When a WWMG MyChart message may create a charge

Effective April 1, 2025, WWMG may bill for a MyChart message when a provider must spend more than five minutes reviewing the chart and providing clinical advice.

A charge may apply for
  • Evaluation of a new symptom
  • Medication changes requiring clinical review
  • Chronic-condition management
  • Advice for a flare-up or worsening condition
  • A response requiring detailed record review
No charge is generally expected for
  • Routine prescription refill requests
  • Appointment scheduling
  • A brief administrative or clinical reply
  • Follow-up within 90 days of recent surgery
WWMG’s published potential MyChart message costs
Patient situation Published possible amount What affects the amount
Message billed through insurance $5-$155 Insurance benefits, copay, coinsurance and deductible.
Self-pay clinical message $25-$120 The work and time required for the provider’s response.
Choose the best communication route: Use MyChart for a concern that can wait several days. Call the office when timing matters. Schedule a visit when the problem needs examination, testing or a detailed treatment decision.
Coverage verification

Insurance accepted by Western Washington Medical Group

WWMG lists many commercial, exchange, Medicare, Medicare Advantage, Medicaid, military and occupational plans. Acceptance can differ by provider and clinic, so the insurer must verify the exact combination before treatment.

Never ask only, “Do you accept Kaiser, Regence or Humana?” Read the complete product and network name from the insurance card. Several WWMG contracts apply only to specialists, particular clinics or selected networks.

How to pay a Western Washington Medical Group bill

Check the date of service before paying. WWMG uses different payment routes for services before and after its February 2024 system transition.

For service on or before February 16, 2024 Use the older payment option shown on WWMG’s official bill-payment page.
For service on or after February 17, 2024 Pay through MyChart or use the current guest-payment route shown on the official page.

Important service change

Does Western Washington Medical Group still offer telehealth?

Most WWMG clinics have discontinued routine telehealth appointments. The organization states that Medicare and commercial insurers stopped paying for most telehealth services beginning October 1, 2025.
You previously used video visits Do not assume the next follow-up can be virtual. Ask the clinic whether that provider still offers telehealth for your appointment type.
Travel is difficult Explain the transportation, mobility or distance problem and ask whether another location, scheduling option or covered service is available.
Your insurer says telehealth is covered Confirm that the WWMG provider and appointment type are also offered virtually before scheduling.
You need immediate medical attention A future video appointment is not a substitute for urgent or emergency evaluation.
Clinic-entry update

Western Washington Medical Group masking policy for 2026

Effective March 25, 2026, WWMG lists face masks as optional for patients, visitors and staff at its clinics. Disposable masks remain available at clinic front desks for people who choose to wear one.

Policy can change: WWMG ties its masking approach to regional COVID-19, influenza and RSV activity. Check the current notice before visiting during a respiratory-illness surge.
Helpful courtesy: A patient may still choose to wear a high-quality mask, particularly when ill, immunocompromised or concerned about respiratory exposure.
Problem-solving guide

What to do when the WWMG process is not working

No one responded to an appointment form Contact the individual primary care clinic. An online request does not automatically reserve an appointment.
The specialist says no referral arrived Ask the referring office for the fax confirmation, referral date, destination and authorization number.
MyChart does not show an older record Records from before the February 17, 2024 portal transition may need a formal clinic-specific request.
MyChart support says MultiCare Continue with the call. MultiCare is WWMG’s electronic medical-record partner.
Your portal message has no reply WWMG warns that replies may take several days. Call the clinic when the issue is urgent or worsening.
The payment page shows two systems Use the statement’s date of service to select the pre-February 17, 2024 or newer payment route.
The insurer says the provider is not in network Verify the provider, clinic and exact network. Some WWMG contracts cover only specialists or selected clinics.
Your records request has taken over two weeks Call the clinic that received the request and provide the patient name, request date, delivery method and recipient.
Local patient shortcuts

Practical North Puget Sound tips that can prevent wasted trips

01
Call before same-day care

WWMG does not currently accept primary care walk-ins, even when a clinic offers same-day appointments.

02
Verify the Everett building

WWMG operates several Everett clinics on Hoyt, Colby, Broadway and 19th Avenue SE.

03
Do not call administration

The administrative office cannot schedule care, resolve a bill or release medical records.

04
Ask about portal-message cost

A detailed clinical MyChart response requiring more than five minutes may be billed.

05
Use the service date

The bill-payment system changes at February 17, 2024—not the statement-printing date.

06
Send records to the clinic

Each primary and specialty office uses a different medical-record fax or mailing route.

07
Expect in-person care

Most WWMG clinics discontinued telehealth after insurance-payment changes.

08
Verify network exceptions

Kaiser, Humana, Regence, CHPW and Apple Health participation can vary by clinic or specialty.

09
Check forms by department

A family medicine form is not automatically valid for GI, pulmonary, sleep, endocrine or orthopedic care.
